Scope of application
The University of Regensburg offers an extensive range of online services and thus provides many information and service offerings, in particular to support research and teaching.
When using web services, personal data or data relating to individuals is generally collected and processed. The type and scope of the data depends on the information or service offered.
In order to give you a targeted opportunity to obtain information, this document describes in general terms which data is automatically collected by default when you use the University of Regensburg's websites and how this data is processed.
You will also find information on contact options, the supervisory authority and your rights in the context of data protection.

Purpose and legal basis
All data processing is subject to the principle of necessity and purpose limitation as well as data minimisation and data protection according to the respective state of the art.
Universit?t Regensburg only collects as much data as is necessary to fulfil the respective task, only uses it for the respective purpose and only stores it for as long as legally required.
The legal basis for the processing of personal data is always a legal authorisation (e.g. university law, BayEGovG) or the consent of the data subject. You will find the relevant information in detail in the corresponding offer.
General information on data collection for online services, forms and contacting us
When you contact us by e-mail or via a contact form, the data you provide (your e-mail address, possibly your name and telephone number) will be stored by us in order to answer your questions. We delete the data collected in this context after storage is no longer required, or restrict processing if there are statutory retention obligations.
Changes
We reserve the right to amend this privacy policy from time to time to ensure that it always complies with current legal requirements or to implement changes to our services in the privacy policy, e.g. when introducing new services. The new privacy policy will then apply to your next visit.
Your rights
You have a right to information about the data stored about you.
Upon request, you will receive information about
- the purposes of processing,
- the categories of personal data
- the recipients (categories) to whom this data has been disclosed or will be disclosed in the future
- the duration of storage or the criteria that lead to this storage period
- the origin of the data if it was not collected directly from you.
You also have the right to have your data rectified. You can object to the processing, restrict it and have your data deleted, unless the data must continue to be processed in individual cases due to legal obligations (e.g. from university law, examination law, archive law).
In the event of violations, you have the right to lodge a complaint with the competent supervisory authority.

Content from third-party providers is integrated into our website. To display this content, the respective third-party provider processes, among other things, the IP address of the user; this processing is necessary for the functionality of the respective integration.

To protect the personal data of visitors, the automatic transmission of data is prevented; data is only transmitted with the user's consent.

Web analysis
In order to better adapt the content structures and navigation mechanisms of the websites to the needs of the users, the page views and the elements clicked on within the pages are logged and analysed. The Matomo software (https://matomo.org/) is used for this purpose.
The data is collected and stored on the servers of the University of Regensburg. It is anonymised by truncating the last 2 bytes of the IP address. This means that it is no longer possible to identify individuals. The University of Regensburg also refrains from using so-called "tracking cookies". This means that no cookies are stored in the browser and no logging of recurring page visits is carried out.

- Previously visited URL (referrer), if transmitted by the browser
- Name and version of the operating system
- Name, version and language setting of the browser
- URLs visited on this website
- Times of the page views
- Type of HTML requests
- Screen resolution and colour depth
- Technologies and formats supported by the browser (e.g. cookies, Java, Flash, PDF, WindowsMedia, QuickTime, Realplayer, Director, SilverLight, Google Gears)

We currently assume that we are not subject to any joint responsibility under data privacy law insofar as your data is processed by these providers for the purposes specified by them.
The content of our social media offerings is not directly integrated into the website and no data is collected by us.
We only use social media icons in extended data protection mode. By default, no automated connection is established with the servers of the services. This means that the service operators do not receive any data from website visitors when they access the Universit?t Regensburg website.
If you click on a link to these services, you will be redirected to the respective website and the data protection provisions published there will apply.
Purposes and legal bases of processing
Our social media presence is part of our public relations work. We endeavour to provide information in a target group-oriented manner and to exchange information with you (Art. 2 para. 6 Bavarian Higher Education Act). We enable you to contact us quickly electronically and communicate directly via the media of your choice (Section 5 (1) No. 2 TMG).
We disclose and block or delete content and posts, requests that violate the rights of third parties or that constitute a criminal offence or administrative offence or do not comply with legal or contractual obligations of conduct by transmitting them to the responsible authority or social media service.
We use cookies, log files and statistics from the above-mentioned social media providers to compile business statistics, to carry out organisational analyses, to test or maintain our web service and to ensure network and information security in accordance with Art. 6 para. 1 BayDSG, § 13 para. 7 TMG, Art. 11 para. 1 BayEGovG. We anonymise or pseudonymise this personal data insofar as this is possible for us and the purpose of processing is not impaired.
Recipients or categories of recipients of the personal data
If you use our social media channels and pages, their providers will also process your personal data.
Our IT service providers may also be recipients of your personal data as part of the contracts we have concluded for order processing. However, to ensure the security of our data processing systems, we do not disclose our service providers.
Duration of storage of personal data
Communications, post, e-mails and social media posts and messages are deleted six years after the end of the year in which the respective transaction takes place.
